MS-IL Staffing is searching for an organized and friendly Office Administrator to be the face of the office. This is an internal temp-to-hire opportunity!

  • Position: Office Administrator
  • Pay: $14-16/hr.
  • Schedule: M-F from 8 am to 5 pm

Job Summary: Office Administrator

The Office Administrator provides front office support and coordinates office activities and operations to secure efficiency and compliance to company policies and procedures.

Job Duties: Office Administrator

  • Provide general support to visitors, walk-ins, and clients;
  • Manage agendas/travel arrangements/appointments, etc. for upper management;
  • Keep stock of office supplies and place orders when necessary;
  • Manage phone calls and correspondence (e-mail, letters, packages, etc.);
  • Coordinate office events/get togethers;
  • Create and update records and databases with personnel, financial, and other data;
  • Submit timely reports and prepare presentations/proposals as assigned;
  • On-call availability after hours, as needed;
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics;
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions;
  • Develop and maintain a filing system;
  • Update and maintain office policies and procedures;
  • Maintain contact lists;
  • Submit and reconcile expense reports;
  • Assist contingent employees in completion of forms and paperwork;
  • Input appropriate information into TempWorks Enterprise;
  • Conduct interviews of contingent employees;
  • Follow Human Resources policies;
  • Examine employee applications for error and matched skill sets to place properly;
  • Ability to work with frequent interruptions and changes in priorities;
  • Follow company chain of command;
  • Perform other duties as instructed or assigned.

Job Requirements and Qualifications: Office Administrator

  • Proven experience as Office Administrator, Executive Administrative Assistant, or related position;
  • Valid and active motor vehicle operator’s license;
  • Ability to read and interpret company documents;
  • Ability to produce routine reports;
  • Ability to speak effectively to clients, walk-ins, visitors, and coworkers;
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form;
  • Ability to handle multiple tasks simultaneously;
  • Advanced personal computer skills are necessary, to include email and MS Office;
  • Ability to key continuously throughout the day;
  • Minimum of two years Human Resources or interview experience;
  • Experience with handing confidential information on a daily basis;
  • Clean background check;
  • Outstanding customer service skills.
